Job Purpose

To provide on-going administrative and outdoor public relations services pertaining to employment and sponsorship formalities in accordance with Pakistan rules and regulations and as per Fly Jinnah adopted policies and procedures. Ensures all visas applied are timely and accurately processed, issued, stamped and/or cancelled.

Key Result Responsibilities

  1. Represents the Company at different Government Authorities such as Immigration, Labor, Police, Court, Embassies, Ministries, Municipality, Airport, and other official entities as required.
  1. Collects, updates, and communicates necessary information and standard regulations pertaining to government rules and regulations, mainly the Immigration; acknowledges concerned with latest changes in procedures and formalities as they arise.
  1. Processes needed official immigration transactions ensuring valid and accurate preparation of required documents as per normal standards and adopted procedures. 
  1. Monitors the identified online system on daily basis to follow up on the visa applications status, and takes necessary action accordingly.
  1. Carries out physical visa submissions at the designated official government offices to ensure acceleration of the application process and accuracy of documents provided. 
  1. Executes necessary visa stamping and cancellations on regular basis as instructed by the respective supervisor/manager and in line with adopted procedures.

  1. Guides employees efficiently and promptly on queries related to visa issuance/cancellation requirements and procedures; escorts employees to immigration offices when required.
  2. Ensures all employees who have left the Company are cleared from the Immigration records/system.
  3. Maintains an up-to-date database of visa status and sponsorships of all staff sponsored by the Company.
  4. Compiles necessary documents received from HR employee services to facilitate periodic renewal of employee visas and ensures avoiding expiry or travel limitations.
  5. Provides his supervisor/manager with regular updates on visa status to ensure smooth operations and avoid any potential delays
  6. Cross-checks and follows up on the status of the visit visas sponsored by the Company to avoid overstay cases and clear existing ones immediately through the immigration channels available.
  7. Coordinates with Legal and Government Affairs to resolves matters in protection of Company’s interests. Carries necessary communication/transactions related to escalations, court cases, absconding, deportation, etc., at the respective authority such as Police, Immigration, Court, and Prison.
  8. Reviews and updates all business and trade Licenses as instructed and maintains a copy of the same; follows up on official approvals and permits to prevent unnecessary violations.

Qualifications (Academic, training, languages)

  • High School or Diploma in any stream is acceptable with needed administrative experience
  • Dynamic and physically fit for the job, requires frequent movement.
  • Age recommended: not above 40 years.
  • Acceptable computer skills.
  • Must be proficient in English and Urdu Language.

Work Experience

  • 4+ years of related public relations working experience in a similar role in a mid-sized company in the Pakistan, preferably in the service industry.
  • Extensive knowledge in the Pakistan Immigration and Labor regulations and corresponding procedures and formalities pertaining to visa sponsorship, security approval process of airline staff and airport passes.
  • Capable of understanding and classifying documents according to task requirements.
  • Ability to understand assignments and plan tasks according to priorities and logical order.
  • Employs interpersonal skills and effective relations with external parties to facilitate work and execute tasks timely and cost-effectively.
  • Cooperative team player; possesses very good organizing and time management skills.
  • Dependable, takes ownership, and displays energy
  • Willing to work on-call at a short notice and support in ad-hoc scenarios and emergency cases.
  • Proven skills in identifying pitfalls and suggesting alternatives.
  • Cost-oriented, possesses effective persuasive, problem solving and judgement skills.
