Job Purpose

Responsible for coordinating and executing payroll processes, staff travel logistics, ensuring compliance with relevant laws and company policies

Key Result Responsibilities

  • Work closely with the HR team to ensure the smooth execution of day-to-day operational HR functions.
  • Maintain and update employee records in the HR system with accurate and timely data entry.
  • Support HR administrative tasks as needed, ensuring consistency and compliance with internal policies.
  • Assist in the preparation and validation of payroll data to ensure timely and accurate salary disbursements.
  • Maintain payroll records and documentation for audit and compliance purposes.
  • Assist in resolving payroll-related discrepancies in coordination with relevant departments.
  • Assist with the administration of employee benefits, deductions, and leave balances.
  • Respond to payroll-related queries from staff in a timely and professional manner.
  • Keep track of updates on changes in employment laws, payroll regulations, and tax codes to ensure company compliance.
  • Coordinate and book travel arrangements for staff, including flights, ground transportation, and accommodation for crew positioning, onboarding of new joiners, and duty-related travel.
  • Ensure all travel arrangements are compliant with the organization’s travel policy, budget, and approval protocols.
  • Serve as the primary point of contact for all travel-related inquiries, providing clear guidance and timely support to employees.
  • Liaise with Operations Control Center (OCC), Crew Planning, and Finance to ensure accurate per diem disbursements and handle any necessary adjustments or change requests.
  • Coordinate with the PRO for visa applications and ensure all international travel documentation is complete and compliant.
  • Maintain comprehensive records of travel transactions and reconcile invoices for auditing and financial reporting purposes.

 

Qualifications (Academic, training, languages)

  • Minimum bachelor’s degree, with 1+ year of industry experience

Work Experience

  • Proficiency in Microsoft Office
  • Undertanding on employment and tax laws.
  • Knowledge in HR Functions and payroll/staff travel and corresponding processes is a pre-requisite
  • Understanding of record keeping 
  • Cost control for travel
