Coordinator - Medical Administration (UAE National)

Job Purpose

Responsible for supporting and maintaining the smooth operations of medical center administration, scheduling, and applicant & patient walk-ins. This includes handling reception, coordinating activities with other medical professionals, and ensuring that administrative tasks such as document filing are completed for applicants and patients

Key Result Responsibilities

1.    Coordinating the daily administrative activities, including scheduling, applicants & patient walk-in, and medical record maintenance.
2.    Managing the reception area and guiding patients, visitors etc within the medical centre.
3.    Handling administrative tasks, appointment scheduling, inventory management, and communications. 
4.    Receiving and answering emails, telephone calls and other communications for the medical centre.
5.    Scheduling appointments for applicants, patients, nurses, and doctors.
6.    Guiding applicants and patients through reception and correct medical administrative protocols
7.    Checking and verifying information on patient medical records.
8.    Maintaining adequate medical supplies for the facility.
9.    Initiating & coordinating procurement requests in line with Company procedures.
10.    Consulting with doctors and nurses about patients' medical records.
11.    Ensuring that forms and documents are correctly filled
12.    Handling complaints and queries professionally.

Qualifications (Academic, training, languages)

•    Have a high school diploma, bachelor's degree, or equivalent.
•    Working knowledge of MS Office Suite and database systems.
•    Fluent in English Language (Arabic is a plus), verbal and written

Work Experience

•    At least two years' experience in a medical administration role
•    A basic understanding of patient care, medical terminology, coding procedures, reference tools, and appropriate clinical pharmacology.
•    Excellent interpersonal, organizational, and customer service skills.
•    Familiarity with electronic medical health care record systems.
•    Knowledge of key medical reports such as pathology reports and general-health checks.
•    Excellent time management skills and organizational abilities.
•    Good people interaction skills.
•    Ability to work in a high-pressure environment.
•    Ability to work both independently with minimal supervision and be active team player within the Medical Centre
