Job Purpose

The Administration supervisor will be responsible to manage and execute all policies related to the Administration of Office. Managing and maintaining all administration related matters to create a workable atmosphere and help staff in all possible ways.

Key Result Responsibilities

  1. The employee will be developing, reviewing and improving administrative systems, policies and procedures and ensuring that the office is stocked with necessary supplies and all equipment is working and properly maintained.
  2. Supervising the third-party vendor staff including janitorial, security, office administrative and maintenance staff, and completing preventive maintenance requirements.
  3. Dealing with various types of vendors based on any requirements, obtaining quotations, and finalizing the contracts.
  4. Support in procurement related activities to other departments and advising cost effective solutions to meet the requirements. 
  5. Help in organizing events, including ordering materials, catering, and requisitioning meeting spaces.
  6. The Administration supervisor will be working with the accounting and management team to set budgets of utilities, daily consumables, office supplies and manpower as well as monitor expenses.
  7. Supervising the third-party fleet management, ensuring proper maintenance of vehicles by the third-party vendor, productive utilization of vehicle, fuel management as per the mileage, proper record keeping of vehicles registration and monthly reporting of vehicles utilization and invoice payment.
  8. Coordinate with office administration related Government bodies and liaison with relevant concern department for regulatory compliance.

Qualifications & Experience

  • Graduate in any stream is acceptable with needed administrative experience
  • Dynamic and physically fit for the job, requires frequent movement.
  • Acceptable computer skills.
  • Fair in English & Urdu Language
  • Must possess valid Pakistan driving license.
  • 4+ years of related administration/public relations working experience in a similar role in the service industry.
  • Cooperative team player; possesses very good organizing and time management skills.
  • Multi-task oriented with high attention to details.
  • Willing to work on-call at a short notice and support in ad-hoc scenarios and emergency cases.
  • Dependable, self-initiative, takes ownership, and displays energy and enthusiasm.
  • Proven skills in identifying pitfalls and suggesting alternatives.
  • Ability to use a interpersonal relations to execute tasks.
