Job Purpose
Acts as a link between Head of Ground Operations and respective functional teams and GHAs across the entire network; timely and effectively manages all the administrative elements, database, records, and correspondence. Monitors the daily (OTP) reports and activities to generate a variety of reports and analysis and use to highlight performance, delays, shortages, and trends, and thereby, to ensure smooth operations and workflow as per Air Arabia and GCAA/CAA standards and regulations.
Key Result Responsibilities
- Acts as the focal point at Ground Operations for internal and external parties, such as Airport Managers, Outstations, Hubs, GHAs, SAS, Vendors and Suppliers, to be approached for daily coordination on various matters; he/she maintains respective records and correspondence to be retrieved when needed.
- Circulates to the network any changes/updates on the policies and procedures related to Ground Operations including GCAA/CAA and Immigration procedures; issues Ground Service Advisories to outstations to maintain current information; ensures timely ordering and printing of disembarkation cards from outstations to avoid any fines.
- Handles the day-to-day administrative activities of the Ground Operations Department, this includes but not limited to communication, manpower allocation, procurement, attendance, leave, IDs, medical cards, minutes of meeting, reports, training coordination, bills, payments, , filing, mail, etc.
- Collates data from Outstations and other sources to generate function-related reports, statistical sheets, graphical analysis and records when and as required, such as reports on stations performance, targets, flight information, punctuality, excess/left behind/mishandled baggage, Go Show, immigration fines, denied boarding passengers, etc. the same to be submitted to the Management for review.
- Represents the Ground Operations Department in the daily “On Time Punctuality Meeting”, supports the outstations and justifies all controllable delays. Collates and utilizes data and reports received from outstations to identify trends and highlight reasons for flight delays.
- Amends the flight delays in the Cesar database based on daily OTP meetings; utilizes those amendments to generate “On Time Punctuality Report” for G9 and Outstations supported with graphical representation of the outstation performance.
Key Result Responsibilities - Continued
- Supports team and outstations with internal and external audits, follows up with GHAs in the respective station on closure actions to ensure implementation within the specified time-frames. Circulates reports to concerned and records data in the Q-Pulse system accordingly.
- Coordinates between stations and Safety Department, collates reports such as “Air Safety Reports”, raised by Captains, and “Ground Operations Incident Reports”, raised by the Outstation airport ground staff. Communicates findings to Management for recommendations on corrective measures.
- Communicates, updates and maintains GHAs, Vendors and Suppliers contracts and SLAs for G9 and Outstations ground Operations, this includes, processing payments, meetings, communication, etc. Monitors the GHAs agreements and contracts; liaises with legal and contract department on new and renewed GHA as per approved standards.
- Follows up with concerned parties on closure actions to be taken to ensure timely implementation; records and monitors the actions in the Safety Database through the Safety Management System in coordination with Safety Department.
- Manages the corresponding (HO and Outstations) procurement and purchase requests and inventory in a cost-effective manner ensuring all needed material are ordered, purchased, received and stored as per Company’s adopted procedures and in coordination with the Procurement Department.

Qualifications (Academic, training, languages)
- Bachelor degree in any Management/Administration/Statistics or equivalent from a recognized university, alternately, a diploma in Office Management or related field combined with needed experience.
- Basic Airport safety and security procedures and regulations trainings are an added value.
- Project Management, Cost Control, Compliance, and Quality Assurance certificates and trainings are an added value and some may be treated as conditional for this role.
- Proficient in Microsoft Office (Advanced Excel), Internet, Web Search and Graphics.
- Excellent verbal and written communication skills: presentations, public speaking, reports, etc.
- Fluent in English Language, Arabic is a plus.
Work Experience
- 2-4 years of experience in an administrative or coordination role in Ground Handling Operations working for an Airlines/Aviation/ or GHA multi-sized company operating on regional level; experience with low cost airline is a plus.
- Familiar with GCAA/CAA rules and regulations pertaining to Ground Handling policies, procedures and licenses.
- Familiar with Quality Assurance, Safety, Security measures and internal/external audit practices.
- Proven skills in working with data and resources effectively to highlight trends and identify irregularities.
- Experienced in embracing new techniques within a workplace to achieve satisfactory performance.
